Welcome to TooledUp AI (“we”, “our”, or “us”). We are committed to protecting your personal information and your right to privacy. This Privacy Policy applies to all information collected through our website (tooledup.com.au) and our associated applications and services, including the AI Voicemail answering service. We handle personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth).
We collect personal information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us. This includes:
If you subscribe to the AI Voicemail service, calls forwarded to our shared answering number are handled by an automated assistant that answers, takes a message, and (where enabled) can book or transfer the call. To do this we record and transcribe the calland capture the caller's name, phone number, and message.
Caller consent: callers are informed at the start of the call that they have reached an automated answering service and that the call is recorded. Callers who do not consent can end the call. As the subscriber, you are responsible for ensuring your use of the service — including forwarding your business line to it — complies with the laws that apply to you.
How the message reaches you: we notify you of each message by SMS and email. Recordings and transcripts are available to you and are used only to deliver the message and operate the service.
Retention: call recordings and transcripts are retained only as long as needed to deliver and support the service, and recording links provided by our telephony provider expire after a limited period. You can request deletion of your voicemail data at any time (see Section 8).
Our website uses a small number of first-party cookies (named lp_variant and lp_vid) to remember which version of a page you saw and to measure which pages perform better, so we can improve the site. These cookies store a randomly generated identifier only — they do not contain your name, email, or any other personal information.
We also use the Meta Pixel (a small piece of code provided by Meta Platforms, Inc.) on our public marketing pages. It sets third-party cookies (such as _fbp) and reports page views and lead events to Meta so we can measure the performance of our Facebook and Instagram advertising and reach relevant audiences. This means some browsing activity on our marketing site is shared with Meta and may be used for cross-site advertising and measurement. You can control or opt out of this via your Meta ad preferences and your browser cookie settings. The Meta Pixel is not loaded inside the authenticated customer dashboard.
Where you enter contact details on our marketing pages (for example an email address or phone number), the Meta Pixel's advanced matching feature may send a hashed (irreversibly scrambled) version of that information to Meta so it can better attribute and measure ad results. We never send this information in plain text, and Meta uses it to match activity to an existing account rather than to identify you to us. The same opt-out and cookie controls above apply.
Our application integrates with third-party platforms. When you connect your Facebook, Instagram, Google, Xero, or ServiceM8 accounts, we receive access tokens that allow us to perform actions on your behalf (such as generating social media drafts, syncing invoices, or responding to leads). We only use this data to provide the automation features of TooledUp AI. We do not sell your third-party data or use it for unrelated advertising purposes.
We rely on trusted third parties to operate the Services. Each processes personal information only to provide their part of the service, under their own security and privacy obligations:

Some of these providers may store or process data outside Australia. Where that happens, we take reasonable steps to ensure your information is handled consistently with this policy and applicable law.

We keep personal information only for as long as necessary to provide the Services and to meet legal, accounting, or reporting requirements. You have the right to request access to the personal information we hold about you, to correct it, and to request its deletion in certain circumstances.
To request deletion of your account and all associated third-party connection data (including Meta OAuth tokens) or your voicemail recordings and transcripts, please email us or use the ‘Disconnect’ features within your dashboard. Upon request, all access tokens and cached data associated with your account will be permanently deleted from our servers.
